# Booking a meeting room

A meeting-room booking becomes a reservation only after confirmation with a booking ID. A calculator result, selected time or empty demonstration slot does not reserve anything. Before starting, know the location, number attending, intended date and duration.

## Five booking steps
1. Choose Harbor, Midtown or Garden.
2. Choose a room and the date and time for the session.
3. Confirm that the room fits every attendee and that the duration meets its rules.
4. Select eligible room credits or payment for the remaining charge.
5. Review the cancellation policy, confirm the booking and keep the booking ID.

Rooms require at least one hour, followed by thirty-minute increments. Pebble, Cedar and Willow fit four people; Maple and Fern fit eight; Summit fits sixteen. The room catalogue lists the site and hourly price beside every room name.

## Credits and cash
One room credit covers thirty minutes in Harbor Pebble or Maple only. Credits cannot be spent at Garden or Midtown, or on catering. Two hours in Maple costs $70 with no credits. Two eligible credits cover one hour, leaving $35 for the second hour. Check both the location and available allowance before choosing credit payment.

## Guests and food
Meeting attendees follow the capacity of the booked room. The common-area guest allowance is a separate rule and does not reduce or increase the room capacity. A room booking also does not automatically grant every attendee a desk pass.

Cold outside food is allowed, alcohol is not, and Acme catering needs two business days' notice. Catering is charged separately from rooms and credits. Consult the hosted group guide when coordinating arrival and food.

## Changing a booking
Read the cancellation guide before changing an existing reservation. Rescheduling cancels the old reservation and creates another; the old booking's cancellation deadline still applies. Keep both references clear so an old cancelled confirmation is not mistaken for the new booking.

## Before you finish
Return to the confirmation and check the location, room, date, duration and booking ID. If those details are absent, do not tell attendees the room is booked. The next step is to resolve the missing confirmation through the actual account or staff.
